ANNUAL CONFERENCE
EXHIBITOR and vendor INFORMATION

Who should Exhibit? 

PASAP invites any provider of services or products that support or assist students in eliminating barriers to learning and school success to exhibit at the annual conference.

This includes for profit organizations who have products for sale; those interested may also purchase an exhibit space pending approval of the PASAP Board of Directors.

Exhibit Hall - The exhibit hall is carpeted. All spaces will be provided with one table (6’) topped with flame resistant, vinyl and draped with a pleated flame resistant fabric skirt. Two chairs and one wastebasket will be provided. A standard identification sign will be furnished. Any required electrical/internet services must be indicated on your registration form. There is a $50.00 charge for electrical service. No Charge for wireless internet.

Vendor Opportunities (Direct Sales & Homemade Goods)

In addition to traditional exhibitors, PASAP also invites vendors to participate in the conference exhibit hall. Vendors may include:

Direct sales representatives (e.g., wellness, personal care, home-based products)

Artisans and crafters with homemade items

Small businesses offering unique goods or services

(Privately owned businesses selling goods such as clothing, books, jewelry, crafts, etc.)

PAYMENT INFO &  REFUND POLICY

Payment Information

Vendors may submit payment online using a credit card once registration has been completed or pay by mailing a check to:

Full payment must be received by the conference date of Sunday, February 23, 2025

To ensure that your organization’s name is listed in the conference app, your Exhibitor registration must be submitted by January 31, 2025.
 
Registrations submitted after February 10, 2025 will be charged a $50.00 late fee.
 
Cancellation/Refund Policy
A forfeit of $25.00 will be required on all cancellations made prior to February 14, 2025.

No refunds will be made after February 14, 2025. Cancellations after that date will be charged FULL space rental.  Cancellations of exhibit space must be submitted in writing to the PASAP Office, PO Box 1254, State College, PA 16804 or via email at support@pasap.org.

SET UP HOURS 

Set Up

Exhibitors must arrive on Sunday and set-up must be completed by 11:00 AM.


Exhibit Hours

Sunday  11:00 AM to 5:00 PM,

Monday  7:30 AM to 5:30 PM

Tuesday  7:30 AM to 12:45 PM


Tear Down

The exhibitor agrees not to dismantle exhibit or do any packaging before the closing of the conference at 12:45 PM. Tear down should be completed by 1:30 PM on Tuesday.




Assignment of Exhibit & Vendor Space

Assignment of Exhibit & Vendor Space

Exhibit and vendor space will be assigned in the order in which paid applications are received. Exhibit management will make every effort to separate like vendors (e.g., direct sales, small businesses with similar products) and will honor requests to be positioned near specific exhibitors or vendors, based on availability.

The PASAP Conference reserves the right, without recourse, to control or prohibit any exhibit or vendor table that, in its opinion, is not suitable or consistent with the character of the conference. This includes, but is not limited to, persons, items for sale or distribution, conduct, printed materials, souvenirs, and displays. The PASAP Conference also reserves the right to withdraw an exhibitor or vendor if payment is not received by the conference date.

Property, Liability & Insurance

All property of exhibitors and vendors remains under their care, custody, and control during transit, set-up, and throughout the event. Exhibitors and vendors are strongly encouraged to carry insurance covering exhibit materials against loss or damage, as well as liability insurance against injury or damage to persons or property.

Neither PASAP, the Conference Committee, nor the Penn Stater Hotel and Conference Center will assume responsibility for theft, fire, accident, vandalism, or other causes of damage to property belonging to exhibitors, vendors, their staff, or representatives. By participating, exhibitors and vendors agree to waive and release any claims except where damage or loss results directly from gross negligence or willful misconduct by PASAP or the Penn Stater Hotel and Conference Center.

Exhibitor & Vendor Representatives

Each exhibitor or vendor must designate one individual as the authorized representative responsible for managing the table and acting as the primary point of contact. Additional representatives may be named on the registration form. Name badges will be issued for all listed representatives.
